Administrative Assistant

The Administrative Assistant is a volunteer role and will be responsible for assisting and reporting to the PWB Program Manager. PWB Program responsibilities include, but are not limited to:

  • Attend mandatory weekly meetings Wednesdays at 6:30pm;
  • Daily reminders to the PWB Program Manager;
  • Organizing basecamp and team announcements;
  • Chairing meetings in the PWB Manager’s absence;
  • Coordination and maintenance of filing systems, calendars, planning, scheduling and organizing meetings/appointments;
  • Assisting with responding to email inquiries, correspondence and reports;
  • Writing and editing documents such as memos, letters, and reports;
  • Maintaining the PWB Program databases (MS Access), updating project information in designated DropBox folder and Office 365 applications;
  • Recording, posting minutes and action items at team meetings;
  • Only utilize PWB email for PWB-related work;
  • Project Coordinators support and administration;
  • Maintaining clear channels of communication written, oral or electronic i.e. Skype, emails and text messaging, etc.;
  • Demonstrating self-motivation and teamwork with other departments;
  • Maintaining administration of website;
  • Perform other basic administrative and other miscellaneous duties as assigned;
  • Demonstrating company culture.
